Custom CRM development

Custom CRM system built around the way your company works.

Fixed price before we start. First working piece in weeks.

Customers · Quotes · Orders · Pricing rules · Reporting

We build the system your company runs on — when off-the-shelf doesn’t fit. Your CRM already keeps the customers, the deals and the history. What it is not tailored to is the way your own business works: how you price, how you plan, who gets which terms. Our team builds that part around your process, on top of the systems you already run, and stays your technology partner while it grows.

Where we start

Custom CRM development that starts with the system you already run

Your systems stay

You are probably not looking to replace anything. Your ERP, your CRM and your accounting package each do their job. What none of them was tailored to is the part of the work that decides rather than records: how a special gets priced, which customer gets which terms, when an order may be released.

One piece at a time

Based on our experience, that part is best built one bounded piece at a time, on top of the systems you already run. Nothing gets switched off, you see a fixed price before our team starts, and you can stop after the first piece if it does not earn its place.

What we build

One record from enquiry to invoice.

We build for companies whose customer work has outgrown a standard product, from large B2C operations handling thousands of orders a day to small B2B teams where every deal is negotiated one at a time. What they have in common is a process that is genuinely their own.

From enquiry to invoice

A system that carries an enquiry all the way to an invoice. One record for the customer, the quote, the order and the documents, instead of five places to look and a phone call.

Your pricing and terms

Your rules, written down properly. How a special gets priced, which customer gets which terms, when a deal may be released: computed by the system instead of remembered by one person.

A layer on top of your ERP

A CRM layer on top of what you already run. Your ERP and your accounting stay where they are, and the new part covers what they were never built to hold.

Mobile sales

A CRM that goes where your people sell. Our team built the mobile application for Raynet’s own CRM, so we know that side of the work from the inside.

Board reporting

The numbers your board asks for, computed from the record the work already happens in, instead of reassembled in a spreadsheet every month.

Who it is for

Where a custom CRM pays off.

Each card describes a system our team has built. If your business works differently, tell us how.

Construction and assembly contractors

A quote built from current purchase prices turns into the live project with one click, with material orders, assembly tracking and the site diary included.

Companies that run on orders

Orders and deliveries in one system. For a fuel and materials supplier, trucks and wagons leave the depots every day based on what the system says.

Real estate

For JLL we built an application where commercial real estate brokers track properties, leases and goals in one place instead of Excel sheets.

Project-based work

A won quote becomes the project, with tasks, progress, an activity timeline and comments in one place.

Staffing and contracting agencies

Thousands of jobs a month, with workers, contracts and payments, handled in one system.

Integrations

Connect it to what you already run

Almost nobody starts from nothing. You already run a CRM, an ERP or an accounting package, and the real question is how to make it carry one more thing.

How it starts

How we work

  1. 01

    A walkthrough

Thirty minutes on a screen-share: the spreadsheet, the queue, the workaround. You get a short written read and a fixed price for the first working version.

  2. 02

    The first working piece

One process, chosen because it costs you the most today. It goes live on its own and does real work.

  3. 03

A new version every two to three weeks

What we build follows what your people actually ask for.

  4. 04

You talk to the people who build it

Our developers have 20+ years of writing software behind them, and they are in the room from the first call.

  5. 05

    Support after handover

Our team keeps the system current, or your own team does. It is documented well enough that another team could take it over tomorrow.

Why companies choose us

What you own at the end

The code and data are yours

You own what we build. All of it. Source code, data and IP are yours from the first commit, in your repository, running in your cloud account.

No per-user bill

There are no licences, seats, credits or tokens to pay for, so your software bill does not rise when the work does. One carve-out: standard third-party components, such as a database, a cloud or a mail service, keep their own licences.

Clients come back

63% of our clients come back for the next project, after the last one was handed over and running without us.

We take over other teams' systems

We take on existing systems for ongoing maintenance, and we take on projects that have gone off the rails. The first step is the same walkthrough: our developers read what is there before we say what it needs.

Evidence

Fifteen years of building custom CRM systems, across industries

The same shape turns up in very different places. A few our team can describe:

Automotive supplier

Quoting a wire frame in about 15 minutes

From half a day to about 15 minutes

For an automotive supplier, quoting a wire frame meant an engineer reading the 3D model for half a day. We built their own calculation rules into the system, and a new frame is now broken down in about fifteen minutes.

Auction house, Berlin

CRM and ERP as one system

Still operated by us

For an auction house in Berlin, off-the-shelf did not fit and an in-house build had stalled. We rebuilt CRM and ERP as one system around how the house actually works, and we still operate it, because they asked us to. The system and its code have been theirs since handover.

CRM vendor · Raynet

The mobile app for Raynet's CRM

First version of their mobile app

For Raynet, a CRM vendor, we built the mobile application their own customers use.

Contracting agency · P. J. Servis

Jobs, workers and payments in one system

A client for 8 years

For a contracting agency, we built one system for part-time jobs, employees, cash flows, payments and statistics. Each of them used to live in its own record.

Legal invoicing, United States

Every invoice format in one process

Review and approval no longer manual

For a client in the United States, we built a platform that connects the different invoice formats law firms and their clients each use into one process, so review, approval and tracking stopped being manual work.

B2B packaging supplier

From Excel to a system that runs the orders

Came back a year later to extend it

For a B2B packaging supplier, spreadsheets kept the orders moving until they became the ceiling. We built an order-management system around their real process, and a year later they came back to extend it.

There are many more we have not listed here, including work we can only describe under NDA. Ask us on the call. Our team is glad to walk you through the projects closest to your own work.

When to buy

When we will tell you to buy instead

We build custom in a minority of cases, and we would rather say so early than late.

If your sales motion is straightforward (contacts, deals, emails, reminders and a report at the end of the month), a product will do that better and more cheaply than anything built for you. If that is the job, buy Raynet, Pipedrive or HubSpot and spend the rest of the money on using it properly.

Our decision guide helps you test that.

Which case are you in?

Buy the product

  • Your sales motion is straightforward
  • The gap is a setting, a field or an integration
  • A record of the work is all you need

Build custom

  • The price comes from a drawing or your own rules
  • How you quote and plan is why customers choose you
  • Fitting the product would change the company

Questions

What clients ask before they start.

How much does a custom CRM cost?

Four things move the number: how many processes the system has to carry, how many other systems it has to talk to, how much history has to come across, and whether you want our team to keep operating it afterwards. A first working piece that already does real work usually lands under €10,000. You see the exact figure in writing before any paid work starts, and the price is fixed then. It does not move for scope you did not ask for. Worth comparing against the other model: a product charges you per user per month for as long as you use it, and the bill grows as your team does. A custom CRM is bought once and stays yours.

How long before we can use something?

The first working piece covers one process and goes live on its own, in weeks. After that a new version lands every two to three weeks, so you are never waiting on one big release date.

Why not just buy Pipedrive, Raynet or HubSpot?

If your sales motion is straightforward, buy one of them. They record contacts, deals and activity better and more cheaply than anything built for you. Building pays when the deciding part of your work, such as the price, the plan or the assignment, has no product behind it.

Can you connect it to Raynet, Helios, Pohoda or ABRA?

Yes, through their documented interfaces, including the Raynet API. We start read-only, and any write path is named, scoped and signed off by whoever runs that system before it goes live. Our team also built the mobile application for Raynet’s own CRM.

Who owns the code and the data?

You do, from the first commit. The source code, the data and the IP sit in your repository and your cloud account. There are no licences, seats, credits or tokens. The one carve-out is standard third-party components, such as a database, a cloud or a mail service, which keep their own licences.

Can you take over a CRM another team built?

Yes. We take on existing systems for ongoing maintenance, and we take on projects that have gone off the rails. The first step is the same walkthrough: our developers read what is there before we say what it needs.
